How to Customize the Visitor Sign-In Sheets

General Customization

Each of these forms can be customized to better meet your company’s needs. Here are four ways you can change any of these forms:

  1. Change the column headings to collect the specific information that you need from visitors (phone number, event name, address, and other details),
  2. Add company branding with font and/or color changes,
  3. Add or change the header to reflect your company name, and
  4. Type in any information that can be added before printing (the date, location, etc.).

Specific Customization

While the four customizations above can be used on any of the forms, there are two templates that require a little additional work before they are ready to use: the Campus Visitor Sign-In Sheet and the Building Visitor Sign-In Sheet.

Here are specific customization instructions for these forms:

Campus

This form has very specific directions underneath the header. It’s essential to make any changes necessary to ensure the wording matches your school’s campus visitor policies.

Building Visitor

The Building Visitor Sign-In Sheet has a spot for your company logo in the upper left hand corner. To fill the existing shape with your logo, please follow the directions in this article:

Once you have your logo added, verify that the types of visitors listed in the parenthesis are accurate. What types of visitors does your building receive? This sign-in sheet makes it easy for them to quickly check the correct box after they’ve written their name, the date, and who they are going to visit.

How Do You Use These Visitor Sign-In Sheets?

Though there are five different versions of a visitor sign-in sheet in this Excel document, you can use the same procedures with them all.

Once you have downloaded and customized the form, print it out. Verify that you have entered the correct date (if applicable). Then, attach the form to a clipboard or use a three-hole-punch to create a visitor log book.

You want the sign-in process to be simple for your visitors. Make sure you have a couple of pens nearby, and that you store it in a central location.

As visitors arrive, they complete the form, adding the information requested. Then if necessary, they sign out when they leave.
